Preparing and sending invitations

Send the event invitation to the mailing lists you built earlier. You choose who receives it, you write the message, and you check everything before the app sends it out.

The app sends invitations only after you publish the event.

Before you start

You need permission to manage the event. That means you created it, you are one of its managers, or you are an administrator or moderator of the organizing company.

Your package sets how many invitation emails the event may send. The Free package allows 150 emails per event, and Professional allows 1500. A package with no email limit shows no limit at all.

Where the composer is

Open the event and select the Overview tab.

Select New email campaign in the Quick actions card. The Send Email Campaign screen opens.

You can also open it from the events list. Open the actions menu on the event's row and select Invite.

Choosing recipients

Recipients are mailing lists. You cannot pick people one by one.

Select the list selector in the Select Mailing Lists card. The app shows every list that belongs to this event.

Each option carries the list name and how many contacts sit on it. A list with no contacts cannot be selected.

Select a list to add it. The field below the selector names the lists you chose.

The Recipients Preview panel on the right tells you how many people receive the invitation.

The panel gives you one number: how many unique addresses the invitation reaches.

The app counts an address once, even when it sits on several lists you chose. It also leaves out addresses that are no longer valid.

Members who unsubscribed from a list do not receive the invitation. The same address still receives it when you choose another list they belong to.

Select View All to open the full member list.

When the app cannot read one of your lists, it blocks the send and shows the reason. Fix the list, then select Try again.

Preparing and previewing the invitation

Open Email template and select Event invitation.

The Compose Email card holds two fields: Email Subject * and Email Content *.

Type your subject line into Email Subject *.

Type your message into Email Content *.

Two small buttons marked AI assistent write a draft subject or body for you. The app shows this label in English in every language.

The app confirms with Draft updated with AI suggestion. Read the draft and rewrite anything you would not send. The app keeps your text in this browser, separately for each template. It does not keep your text on the server, and it cannot send you a test copy.

There is no preview of the finished email. The Recipients Preview panel and the Confirm email dialog are your only checks.

Sending limits

The Email Quota panel shows how many invitation emails the event has already used.

The line tells you how many emails are used and how many remain. A package with no email limit reads "unlimited" instead.

Every unique recipient uses one email. Sending the same invitation to the same people again uses another one.

Your package decides the allowance. A higher package allows more emails. Read more about packages in Packages and payment.

Sending the invitation and viewing results

Select the send button below Email Content *. With no list chosen it reads Send Email. Once you choose lists, the button names them, for example Send to 1 selected list.

The Confirm email dialog lists your mailing lists, the number of unique recipients and the subject line.

Read the dialog before you continue. Select Cancel to go back and change something.

Select Send email to send the invitation.

The app reports Email sent successfully to {count} of {total} recipients! and returns you to the event page.

When some messages fail, the app keeps your draft and tells you not to send again. Read that warning before you try anything else.

Troubleshooting

The send button is greyed out. Hover over it to read why. The app explains that the event is not published, the allowance is used up, or you selected too many recipients.

You have no mailing list yet. Create one before you send. The app shows Create a mailing list before sending email.

No list is selected. Select at least one list. The app asks for one with Select at least one mailing list to continue.

The app waits for the recipient count. It shows Checking recipient count… while it counts. If it cannot confirm the number, sending stays blocked.

The app says the template is not published. You see This email template is not published on the sending domain. Contact the person who manages your sending domain.

The send fails. The app reports Failed to send email. Your draft stays on the screen, so you can send again once you know the cause.

Some recipients were skipped. Reduce your selection until the app stops reporting too many recipients, then send again.
